QR code photo sharing for weddings and events

Updated · By Chethan Vasthaw Tippani, Founder, VowPix · 3 min read

The short answer

QR code photo sharing means guests scan a code printed at the venue and open the event's photo gallery on their phone. With VowPix the QR opens a private, studio-branded gallery; guests take a selfie and see only the photos they appear in. Photographers download the QR as a PNG or as a ready-to-print A4 banner with their logo, event name and three simple steps.

How QR code photo sharing works

A QR code is just a printed link. What matters is where it leads. On VowPix, the QR for an event opens that event's private gallery:

  1. The guest points their phone camera at the QR on a standee or table card.
  2. The gallery opens in the browser. If the photographer chose to include the PIN in the link, the guest goes straight in; otherwise they type the 4-digit guest PIN shown on the banner.
  3. The guest takes a quick selfie.
  4. Their photos appear under My photos, ready to download in full resolution.

The whole flow takes under a minute and needs no app, no login and no Wi-Fi password, just mobile data.

Two QR codes per event

Every event has two links, so it has two QR codes:

Guest QRFull-access QR
Who it is forEveryone at the eventThe couple, the family, the client
What it showsThe guest's own photos after a selfie (all photos only if you allow browsing)Every photo and folder, no selfie needed
Where to put itEntrance, stage, food counters, return giftsSend privately to the family

Print the guest QR at the venue. Keep the full-access QR for the people who should see everything.

The printable QR banner

From the event's Share dialog you can download either the QR code alone, as a sharp 2000-pixel PNG for your own design, or a finished A4 printable banner. The banner is generated for each event and includes:

  • your studio logo (or your studio name if you have not uploaded a logo)
  • the event name, date and venue
  • a short headline: "Find your photos" for guest access, "See all the photos" for full access
  • the QR code inside a framed card
  • three steps: scan the QR, take a selfie, get your photos
  • the PIN, when the link does not already include it
  • a "Photos by" credit for your studio

Send it to any printer as is. A standee at the entrance and table cards near the food counters work well at Indian weddings.

Where QR photo sharing works best

  • Weddings and receptions: guests find themselves the same evening instead of waiting weeks.
  • Corporate events and conferences: attendees get their stage and networking photos without HR forwarding a folder.
  • College fests and school functions: students and parents each get their own photos.
  • Birthdays and family functions: relatives stop asking the host for the "full drive link".
  • Sports and running events: participants find their race photos with a selfie instead of searching by time or bib.

Tips for more scans at the venue

  • Put the QR where people wait: the entrance queue, the food counter, beside the photo booth.
  • Include the PIN in the guest link so guests do not have to type anything.
  • Ask the anchor or DJ to mention it once: "scan the QR and get all your photos with a selfie".
  • Upload a few highlights early so the first guests who scan see something straight away.
  • Use the same QR for the live stream if the family is streaming the ceremony.

Frequently asked questions

Do guests need an app to scan the QR?

No. Any phone camera opens the link, and the gallery runs in the browser.

Can the QR code be printed before the photos are uploaded?

Yes. The link and QR are fixed when you create the event, so you can print them days in advance. Remember to publish the gallery before the event.

What if the QR or PIN reaches the wrong people?

Regenerate the guest PIN from the event settings. The old PIN stops working, and the people you want can be sent the new one. With browsing turned off, even someone with the PIN only sees the photos they appear in.

Can I put my own design around the QR?

Yes. Download the QR alone as a high-resolution PNG and place it in your own artwork.
