Photo sharing for school and college events

Updated · By Chethan Vasthaw Tippani, Founder, VowPix · 3 min read

The short answer

For school and college events, a private face-search gallery lets students and parents find their own photos with a selfie instead of scrolling through a whole annual day or fest. On VowPix the photographer or institution shares one QR code or link with a PIN; galleries stay private, browsing can be turned off so each family sees only its own photos, and the institution keeps full access to everything.

The usual problem

An annual day, sports day, college fest or convocation produces thousands of photos of hundreds of students. They usually reach parents and students as a Google Drive link in a class WhatsApp group: everyone sees everyone's children, nobody can find their own photos without scrolling, and the link keeps travelling long after the event.

  1. The photographer, or the institution's media team, uploads the event once, organised into folders such as Performances, Prize distribution and Sports.
  2. The school or college shares one link or QR code with the PIN through its usual channel: the app, the circular or the class group.
  3. A parent or student opens it, takes a selfie and sees only the photos they appear in.
  4. The institution's staff use a separate full-access PIN to see and download everything.

Face data on VowPix is used only inside that event's gallery, is never used to train AI models, and can be deleted on request. The face scan is meant for people aged 18 or over, and anyone younger needs a parent's or guardian's consent, so in schools a parent does the scan with their child, or the institution shares photos through full access. Read the biometric consent policy before you roll it out.

Frequently asked questions

Do parents need to install an app?

No. The gallery runs in the phone's browser from a link or QR code.

Can a parent find all the photos of their child?

Yes. A parent can take their own selfie to find family photos, or the school can share specific folders or full access with parents when that is appropriate.

Can students see each other's photos?

Only if the institution allows browsing. With browsing off, each person sees only the photos their selfie matches.

Yes. The photographer can unpublish the gallery or delete the event at any time.
